Meeting Minutes - DRAFT
September 14, 2010

Present: Fred Mellish, Jeff Slade, Lisa Sargent, Edith Stillson, Ernie and Cookie Shand, Gloria Ballantine, deForest Bearse

The purpose of this meeting was to discuss plans for the dedication ceremony.

The ceremony will last from 9:30 - 11:10 AM on Thursday, November 11, 2010.

Jeff Slade made the motion that Chip Cobb be appointed master of ceremonies. Lisa Sargent seconded the motion and all were in favor.

The idea of sending invitations was discussed. The consensus was that we not send invitations so as not to risk offending anyone who might not receive one. We will rely on advertising through newspapers, SAPA TV, posters, and fliers.

Poster design was discussed. The idea of the American flag on a white background was favored. Staples can make color copies at various sizes.

A guest book for attendees will be provided.

Bill Vongilern, music teacher at the Weathersfield School, will provide music for the ceremony. Only the kindergarten class will be attending.

There was much discussion regarding Fed's poem - mainly the length of it and the fact that it focuses specifically on the guard. There was no resolution to the discussion.

Glorai Ballantine said that the group is welcome to use the Perkinsville Church for restrooms and for the reception following the ceremony.

The Grange can provide approximately 90 chairs; the Church can provide another 30.

The Grange parking area can be used for parking during the event. There is room for an estimated 50 cars.

The Fire Commission has volunteered to help with parking. It may be helpful if they can assist with clean up of the green after the ceremony is over.

We will ask the School Board if we can borrow their lectern and cordless microphone for the event.

We hope to borrow two extension cords with a splitter at the end from the Town.

There will be a tent provided if it looks as though the weather will be bad.

Punch, coffee, cider, cookies, and donuts will be served at the reception.

Chip is working with Lisa Stapleton and the Cub Scouts for the presenting and retiring of the colors .

Programs will be made for the ceremony. The draft will wait until the last minute to account for last minute changes. Words to the Vermont State song will be printed in the program.

It was agreed that a site visit to the green should be planned for the next meeting of the committee.
