Meeting Minutes - DRAFT
October 19, 2010

Present: Edith Stillson, Lisa Sargent, Jeff Slade, Bob Dickinson, Chip Cobb, deForest Bearse, Chief Brown, Fred Mellish, Aaron Fitzherbert, Ernie and Cookie Shand, Bill VonGillern

1. Approve minutes from last meeting: September 28, 2010
Jeff Slade motioned to approve the minutes as presented. Edith Stillson seconded the motion and all were in favor.

2. Dedication Ceremony Planning
Aaron presented two templates for the wording that will go on the base of the monument. The group discussed the choices and chose one of the two. The lettering will go on the side of the monument that faces the Church.

Edith Stillson motioned to authorize spending a maximum of $130 for printing of the programs and the cards that will have a piece of the monument stone attached to them (to be given to everyone that attends the dedication). The programs and cards will be printed at Doolittles Printserve in Claremont. Lisa Sargent seconded the motion and all were in favor.

It was decided not to try and list all of the contributors' names in the program, because of the risk of inadvertently leaving someone out. A general statement of recognition will be used instead.

Bill VonGillern, music director at the Weathersfield School, will provide a lectern, microphones, and amplifiers. He will do a test run at the Green to ensure that the power that is available on the Green will be sufficient to run the equipment.

A draft advertising poster was presented and accepted. It was decided to have the posters printed at Doolittles on poster board. Ernie Shand motioned to authorize a maximum of $40 for the printing costs. Jeff Slade seconded the motion and all were in favor.

Lisa will try to decorate the park for the ceremony. It was agreed that decorations should be kept to a minimum so as not to detract from the monument.

It was noted that the Perkinsville Church is not handicapped accessible. The committee will have to find out if the Grange facilities can be used that day.

The Police Chief will coordinate with the Fire Commission to address traffic control and parking.

The Committee members will hand out programs and seat guests as they arrive.

At 8:42 Jeff Slade motioned to adjourn the meeting. Fred Mellish seconded the motion and all were in favor.
