Veterans Memorial Committee Meeting Minutes January 25, 2011
Present: Chip Cobb, Edith Stillson, Lisa Sargent, Jeff Slade, Cookie Shand, Gloria Ballantine, Fred Mellish, deForest Bearse
1. Approve minutes from last meeting: November 30, 2010 Jeff Slade motioned to approve the minutes as presented. Edith Stillson seconded the motion and all were in favor.
2. Pay Bills Jeff Slade motioned to pay $626.32 to the Town of Weathersfield for labor and equipment costs incurred during erection of the monument. Edith Stillson seconded the motion and all were in favor.
3. Update Financials Chip presented a summary of the project's income and expenses to date. (See Attachment A) There is approximately $18,000 left for the educational component and completing the Roll of Honor. The consensus of the committee is that grant money should be spent first and then use agency funds as needed.
4. Roll of Honor - update Edith Stillson, Fred Mellish, and Beverly Howe have met to work on the project. They plan to create three 3-ring binders that will contain the list of names. One book will go to each of the Town Office, Aaron Fitzherbert, and the Committee. The question was raised as to how to confirm that someone was in fact a Weathersfield resident when they enlisted? There was no clear answer. Outreach efforts will include local newspapers, possibly an insert into the tax bills, a piece in the Weathersfield School Friday Notices, and an announcement on SAPA TV. Also the an announcement on the front page of the Town's website and a repeat on the Veterans Memorial page is to be requested.
5. Educational Component Planning - update The subcommittee met at the school on January 13th to continue discussing the project. A summary of the meeting is attached. (See Attachment B)
6. Future of Committee The consensus of the committee was that the committee should continue. We will need the Select Board to re-appoint the members and perhaps provide a new charter for future activities, some of which should include annual honoring ceremonies (Veterans Day, Memorial Day, etc.) The Select Board will need to continue monitoring the agency fund as well.
7. Other Business The Town's 250th anniversary celebration is being planned for August 20th at the Center Church and Grove. Participation in the festivities was discussed. Lisa suggested we sell popcorn and continue to solicit veterans' names. It was also agreed to have the picture display we had at the dedication ceremony on display for this event as well.

9. Adjournment At 8:00 Jeff Slade motioned to adjourn the meeting. Gloria Ballantine seconded the motion and all were in favor.
