Meeting Minutes
August 30, 2011

Members present
Ernie & Cookie Shand, Gloria Ballantine, Chip Cobb, Edith Stillson, Lisa & Jeff Slade, deforest Bearse
Chip Cobb called the meeting to order at 6:35 PM. Chip announced that Myrtle Baker, the inspiration behind the monument, had passed away. Her obituary asked for donations to the Veterans Memorial in lieu of flowers. Chip asked deForest to send a condolence card on behalf of the committee.
1. Minutes of July 18, 2011
Jeff Slade motioned to accept the minutes of the July 18th meeting as presented. Gloria Ballantine seconded the motion and all were in favor.

2. Results of popcorn and water sales at 250th celebration
Lisa said that the committee had made $217 in profit. Thank you to the Windsor Recreation Department for the loan of the popcorn machine.

3. Roll of Honor and it presentation
Jeff Slade had visited the Veterans Memorial in Rutland and liked the way that the veterans' names were displayed. He shared the pictures he had taken. The displays are made by Green Screen Graphics in Rutland. The cost for a 2 ft. x 3 ft. panel on a single pedestal is approximately $1,000. The pedestal is made of a 4 x 4 aluminum post set in a 5 x 5 receiver in concrete. It costs $250 to update each panel.

Chip and Jeff had met with Jeremy Osgood to discuss the stamped concrete. Chip shared photos of different stamp designs.

Much discussion followed regarding the actual design of the display - specifically, the size and shape of the concrete pad to hold the pedestal, the number of pedestals (one for the roll of honor, one for a tribute to Myrtle Baker and the history of the monument's creation, and a third to possibly be used as an educational display that could be changed from time to time), the future of the crabapple trees that are close to the monument, and so on. deForest motioned to authorize the expenditure of $2300 for development of the display. Gloria Ballantine seconded the motion and all were in favor. Chip, Jeremy and Jeff will continue working out the details and Chip will go to the Select Board to request permission to go forward.

The goal is to have the display in place by Veterans Day of this year.

4. Direction for educational component
So far three interviews have been completed. The interviews are on videotape (except Chip's, which has vanished) and also been displayed on poster boards. Chip feels that the displays should be scanned into electronic format so they can be digitally displayed. This can be done through Doolittles in Claremont with whom we have an account. Jeff will help retrieve Chip's interview from the camera. The committee discussed purchasing its own camera for this endeavor. Jeff is also looking into various options for touch-screen displays with audio capability. The touch screen will be set up at the school. Chip would like to see the development of various themes, such as women in the military. The ultimate goal is to ensure that those who are putting themselves in harm's way for our country are not forgotten. It will be important to get the teachers at the school to help us with this project.

5. Chicken Barbeque
If Pat and Jerry ("Chicken Man") are available, the barbeque will be held on October 8th. Volunteers are needed to help set up, cook, serve, clean up, and to donate food.

6. Other Business
There was no other business.

7. Comments from citizens

8. Set date, time, location and agenda for next meeting
The next meeting will be held on September 27th at 6:30 PM at Martin Hall.

9. Adjournment
At 7:55 PM, Jeff Slade motioned to adjourn the meeting. Gloria Ballantine seconded the motion and all were in favor.
