Meeting Minutes
October 25, 2011

Present: Chip Cobb, Lisa and Jeff Slade, Edith Stillson, Gloria Ballantine, Ernie and Cookie Shand, deForest Bearse
(1) Approve minutes from the last meeting: September 27, 2011
Jeff Slade motioned to approve the minutes of the September 27th meeting as presented. Edith Stillson seconded the motion and all were in favour.

(2) Additions or corrections to the agenda - there were none.
(3) Chicken Barbeque Results
The barbeque yielded $509 in profits. All agreed that the event went well despite the weather. Two things contributed to the profits this year - we charged $2 more per meal, and the chicken halves were smaller.

(4) Authorize Payment to Liberal Beef
Lisa Slade motioned to authorize payment not to exceed $215.56 to Liberal Beef for the chicken for the barbeque. Jeff Slade seconded the motion and all were in favour.
Edith Stillson motioned to authorize payment to Vermont Hardscapes for the concrete pad at the Perkinsville Green, payment not to exceed $2,200. Gloria Ballantine seconded the motion and all were in favour.
Edith Stillson motioned to authorize payment to Green Screen Graphics for the mylar of the Roll of Honor and three support stands, payment not to exceed $1720. Gloria Ballantine seconded the motion and all were in favour.
(5) Review 2011 Work Plan
All agreed to table this discussion until the next meeting.
(6) Veterans Day Plans
(A) Roll of Honor
Lisa and Jeff had reviewed the draft Roll of Honor and found some minor mistakes. Lisa also said that she and Jeff objected to the word "Unknown" being placed next the veterans whose time of service is unknown. It was agreed that their service time would be left blank in place of the word "Unknown". Mark and Charles Hortons' service dates as shown as Vietnam, which was determined to be impossible. These will be changed to say "Desert Storm" instead. Corrections will be sent to Green Screen.
(B) Program
See Attachment A for the program. We will begin reading names at 11:11 (or be reading them at that time). There are seven columns of names on the Roll of Honor. Each of us will take a column to read.
(C) Advertising
See Attachment B for the advertising poster. deForest will print the programs and posters on cardstock paper using the Town's copy machine. They are to be emailed to BJ for inclusion in the school's Friday notices. Chip will notify the newspapers and SAPA TV.
(D) Set Up
Twenty-five chairs will be set up for the students and another twenty-five for the audience. We will borrow them from the Grange once again. A shelter will be set up for the students if rain threatens. Gloria will get the podium from the school. Extension cords will be solicited from John Arrison. No refreshments will be provided. Lisa will provide bottled water and a trash can. We will place a wreath at the monument before the ceremony begins. Ernies Shand motioned to authorize payment of $200 for the wreath. Edith Stillson seconded the motion and all were in favour. Chip has invited Senator Sanders to attend the ceremony. Traffic cones will be set up on High Street for his parking needs should he choose to attend.

(7) Other Business
Annual Report
Chip will (once again) write the annual report. Thank you, Chip. We will review the report at the November meeting.
Meetings
Some members of the committee would like to have December and January free of meetings. This will be discussed at the November meeting.
(8) Comments from Citizens - None.
(9) Set date, time, location and agenda for next meeting
The next meeting of the committee will be on November 29, 2011 at 6:30 PM at Martin Hall. Subjects to be discussed will include:

Annual Objectives
Taking a Breather
Expenses (ceremony, completion of monument, etc.)
(10) Adjournment
At 7:33 PM, Gloria Ballantine motioned to adjourn the meeting. Edith Stillson seconded the motion and all were in favour.
